Privacy Policy – Cyberllix Communication Intelligence

Effective Date: 12 September 2026

Cyberllix Solutions Private Limited (“Cyberllix”, “we”, “us”, or “our”) respects the privacy and confidentiality of users and organizations using Cyberllix Communication Intelligence, an AI-powered communication intelligence and execution platform currently entering controlled early access.

This Privacy Policy explains how we collect, access, use, store, protect, and disclose information when you visit our website, request early access, use the platform, or connect supported communication accounts such as Google Workspace/Gmail, Microsoft 365/Outlook, or supported business email accounts.

By using Cyberllix Communication Intelligence, you acknowledge the practices described in this Privacy Policy.


1. Information We Collect

The information we collect depends on how you interact with Cyberllix Communication Intelligence.

Website and Early-Access Information

When you contact us, request early access, request a demonstration, or communicate with Cyberllix, we may collect information such as:

  • Name 
  • Business email address 
  • Company or organization name 
  • Job title or role 
  • Phone number, when voluntarily provided 
  • Product requirements or feedback 
  • Information submitted through contact or early-access forms 

Before a user is granted platform access, this may be the primary information we collect.

One UCH Account and Workspace Information

When platform access is enabled, we may process information required to create and administer your account and organization workspace, including:

  • Name 
  • Email address 
  • Organization/workspace information 
  • User role and access status 
  • Authentication and session information 
  • Account preferences 
  • Administrative approval and access records 

Connected Communication Data

When you voluntarily connect a supported communication account, the platform may access and process communication information necessary to provide its features.

Depending on the communication provider and permissions granted, this may include:

  • Email sender and recipient information 
  • Email addresses 
  • Subject lines 
  • Message bodies 
  • Message timestamps 
  • Conversation/thread identifiers 
  • Read/unread state 
  • Email folders or labels 
  • Attachments or attachment metadata where required for supported functionality 
  • Information needed to send, reply to, or manage messages 
  • Communication metadata required to synchronize conversations 

Cyberllix Communication Intelligence may process this information to identify and organize business context such as actions, approvals, commitments, follow-ups, waiting states, and other execution-related information.

We do not access a connected communication account unless the user or authorized organization has granted the necessary permission.


2. Google Workspace and Gmail Data

Where a user connects a Google Workspace or Gmail account, Cyberllix Communication Intelligence may request permission to access Google APIs required to provide supported Gmail functionality.

Depending on the features enabled, the application may request permissions that allow it to:

  • Read and synchronize email required for communication intelligence 
  • Manage supported Gmail message states 
  • Send or reply to email when initiated by the authorized user 
  • Identify the connected Google account 
  • Maintain authorized access where offline access has been granted 

Cyberllix will request only permissions that are reasonably necessary to provide the applicable product functionality.

Cyberllix Communication Intelligence's use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

Google user data obtained through Google APIs will not be used for advertising, sold to third parties, or used to build advertising profiles.

We do not use Google user data obtained through sensitive or restricted Google API permissions to train generalized advertising models or unrelated general-purpose AI models.

If Cyberllix introduces a new third-party processor that materially changes how Google user data is processed, this Privacy Policy will be updated before such processing is introduced.

Google currently requires apps using sensitive or restricted scopes to disclose these practices and comply with its Limited Use rules. 


3. Microsoft 365 and Outlook Data

Where a user connects a Microsoft 365 or Outlook account, Cyberllix Communication Intelligence may access Microsoft Graph APIs after the user or their organization grants the required permissions.

Depending on the permissions granted and features used, this may allow the platform to:

  • Read supported mailbox information 
  • Synchronize business communication 
  • Maintain message state 
  • Create replies 
  • Send messages initiated by the authorized user 
  • Identify the connected Microsoft account 
  • Maintain authorization through permitted refresh mechanisms 

Cyberllix uses Microsoft communication data only to provide, secure, support, and improve the functionality requested by the authorized user or organization.

Customer Microsoft 365 data is not sold for advertising purposes.


4. Other Business Email Accounts

Where supported business email accounts are connected through approved IMAP/SMTP or similar protocols, Cyberllix Communication Intelligence may process the information necessary to synchronize, display, and perform authorized communication functions.

Credentials and authentication information are handled through controlled security mechanisms and are not intended to be displayed to other platform users.


5. How We Use Information

Cyberllix may use information processed through the platform to:

  • Provide and operate Cyberllix Communication Intelligence 
  • Authenticate users and manage workspace access 
  • Connect and synchronize authorized communication accounts 
  • Display unified business communication 
  • Identify actions, approvals, follow-ups, commitments, or relevant communication context 
  • Support user-initiated email replies and sending 
  • Maintain conversation and execution history 
  • Protect accounts, organizations, and platform infrastructure 
  • Detect abuse, fraud, or unauthorized access 
  • Troubleshoot technical issues 
  • Maintain service reliability 
  • Provide customer support 
  • Improve product usability and performance 
  • Comply with applicable legal obligations 

We limit processing of connected communication data to purposes associated with providing, protecting, supporting, and improving the Cyberllix Communication Intelligence service.


6. OAuth Tokens and Authentication Information

When a user authorizes Google, Microsoft, or another supported communication provider, the provider may issue access tokens and refresh tokens.

These tokens allow Cyberllix Communication Intelligence to perform authorized actions without requiring the user to repeatedly enter provider credentials.

OAuth tokens are treated as sensitive authentication information and are subject to controlled access and security measures.

Cyberllix does not intentionally expose OAuth tokens to other customers or unauthorized platform users.

Users may revoke provider authorization through the applicable provider account or through supported platform controls when available.


7. How We Share Information

Cyberllix does not sell personal information or connected communication data.

We may share limited information with service providers only when reasonably necessary to operate, secure, host, monitor, or support the platform.

Such service providers may include:

  • Cloud infrastructure providers 
  • Database and storage infrastructure 
  • Security and monitoring providers 
  • Email or communication platform providers 
  • Technical support infrastructure 
  • Other approved subprocessors necessary to provide the service 

Where appropriate, service providers are expected to process information only for authorized service purposes and subject to applicable confidentiality and security obligations.

We may also disclose information when required by applicable law, court order, regulatory requirement, or a legally valid request.


8. Artificial Intelligence and Automated Processing

Cyberllix Communication Intelligence may use automated rules, machine-learning systems, or AI-supported processing to identify communication context such as possible actions, approvals, commitments, follow-ups, and related work items.

Automated results are intended to assist users and may not always be accurate.

Where appropriate, the platform is designed to allow users to review relevant execution items rather than treating every automated result as a final business decision.

Cyberllix does not intend to use customer communication content for unrelated advertising purposes.

If third-party AI processing of customer communication is introduced in production, Cyberllix will apply appropriate controls and update this Privacy Policy where required.


9. Data Storage and Hosting

Cyberllix is preparing the production pilot of Cyberllix Communication Intelligence using controlled cloud infrastructure with an initial focus on hosting application and customer data in India.

The exact infrastructure architecture may evolve as the platform progresses from controlled pilot to broader commercial use.

Cyberllix applies appropriate technical and organizational measures intended to protect information against unauthorized access, disclosure, alteration, or destruction.

Where external service providers process information, their infrastructure or support operations may be subject to their respective locations and contractual arrangements.


10. Data Retention

We retain information only for as long as reasonably necessary to:

  • Provide the platform and connected services 
  • Maintain authorized user and organization accounts 
  • Meet contractual requirements 
  • Maintain security and audit records 
  • Resolve disputes 
  • Comply with legal requirements 
  • Support legitimate operational needs 

Retention periods may vary depending on the type of information and the organization's configuration.

When information is no longer required, Cyberllix will take reasonable steps to delete, anonymize, or otherwise securely dispose of it, subject to applicable backup, security, contractual, and legal requirements.


11. Account, Mailbox and Data Deletion

Users or authorized organization administrators may request:

  • Disconnection of a connected communication account 
  • Revocation of supported provider access 
  • Deletion of a user account 
  • Deletion of applicable platform data, subject to organizational, contractual, backup, or legal requirements

Revoking Google or Microsoft authorization may stop future synchronization but may not automatically delete information already processed by Cyberllix. Users should follow the Cyberllix deletion process where deletion of previously processed information is required.


12. Data Security

Cyberllix designs Cyberllix Communication Intelligence with security controls that may include:

  • Controlled user and organization access 
  • Tenant separation 
  • Secure authentication 
  • OAuth-based provider authorization 
  • Encryption in transit 
  • Restricted database access 
  • Controlled application-service boundaries 
  • Security logging and monitoring 
  • Backup and recovery controls 
  • Restricted administrative privileges 

No system can guarantee absolute security, but Cyberllix continuously works to reduce unauthorized access and protect platform information.


13. Organization and Tenant Isolation

Cyberllix Communication Intelligence is designed as a multi-organization platform.

Each approved organization is intended to operate within its own controlled workspace.

Users should only be permitted to access communication, actions, approvals, evidence, and related information belonging to organizations for which they have authorized access.


14. Cookies and Technical Information

Our website or application may use cookies or similar technologies that are necessary for:

  • Authentication 
  • Session management 
  • Security 
  • Application functionality 
  • Basic analytics and service performance 

We do not intend to use connected email content for behavioral advertising.

Where legally required, additional cookie controls or notices may be provided.


15. Children's Privacy

Cyberllix Communication Intelligence is intended primarily for businesses and professional users.

The service is not intentionally designed for use by children.

If Cyberllix becomes aware that information has been collected from a child in circumstances where applicable law requires deletion or additional authorization, we will take appropriate steps.


16. Your Choices and Requests

Subject to applicable law, contractual arrangements, and organizational requirements, users may contact Cyberllix regarding:

  • Access to information associated with their account 
  • Correction of inaccurate account information 
  • Communication-account disconnection 
  • Consent or authorization withdrawal 
  • Data deletion 
  • Privacy concerns 
  • Security concerns 

Certain requests involving an organization-managed account may need to be handled through the applicable organization administrator.


17. Changes to This Privacy Policy

Cyberllix may update this Privacy Policy as Cyberllix Communication Intelligence evolves, including when:

  • New communication providers are added 
  • New AI or processing capabilities are introduced 
  • Cloud infrastructure changes materially 
  • Legal or regulatory requirements change 
  • Data-handling practices change 

The updated policy will be published on this page with a revised effective date.

Where appropriate, users may also be notified of material changes through the platform or other reasonable communication channels.
